Reddit Client Handover Checklist for Freelancers
A pre-delivery client handover checklist for freelancers who want the closeout to feel intentional instead of improvised. Use it the week before final delivery, before the wrap-up email, and before you mark the project complete.

Strong client handovers run in three passes. Two weeks before delivery you lock the scope and confirm acceptance criteria. At delivery you ship the deliverables, credentials, and a wrap-up message in one bundle. After delivery you collect sign-off, set the support boundary, and archive the project. The checklist below walks through each pass in order.
Pass 1 — Two weeks before final delivery
The point of this pass is to remove ambiguity from what "done" means. If you skip it, you accept whatever interpretation the client invents on delivery day.
- Re-read the original scope. Mark every line item and confirm each is still in or out of scope. If new requests crept in mid-project, name them on paper, not in your head.
- Lock the acceptance criteria. Write what "done" looks like for each deliverable. Use numbers, files, links, or screenshots where possible so the client cannot move the goalposts later.
- Confirm the delivery date and time zone. Email a single line: "Final delivery is on {DATE}, end of your day. Flag any blockers before {DATE-3}." If a deadline needs to move, move it now, not on delivery day.
- Notify any third parties. Hosts, registries, contractors, or external services need a heads-up. Tag who's releasing what and on whose authority.
- Pre-write the credentials doc. Pull every login, API key, and ownership change into one draft document so on delivery day you are editing, not authoring.
Pass 2 — At delivery
Delivery is one action, not a thread. Bundle everything into a single message, single file, or single share.
- Send the deliverables pack. Final files, source, repos, design assets, and a single "start here" index.
- Send the credentials pack. Every login and ownership change. Avoid long URLs, prefer labeled short links. Revoke any temporary access you created.
- Send the wrap-up email. What was delivered, what was not, what they own now, and who to contact for what. Keep it scannable.
- Set the support window. State explicitly: "Included support ends on {DATE}. Anything after that is a new project."
- Request sign-off. Ask for a one-line confirmation: "Received and accepted — {client signature}". Keep the request clearly separate from the deliverables.
Pass 3 — After sign-off
Closing the file is the work that protects future projects. Skip it and the next client inherits yesterday's mess.
- Archive the project folder. Move it out of "active" into a dated archive. Keep one clear copy for reference; delete scratch.
- Send the completion certificate. Useful for both sides: dates, scope summary, and final invoice reference.
- Update your portfolio. Pull the headline metric, two screenshots, and a one-paragraph summary before you forget context.
- Revoke temporary access. Staging environments, contractor accounts, shared logins.
- Send a feedback request. Honest, short, public or private. Useful for revisions and case studies.
Common variations
- Tiny scope, one client. Combine passes 1 and 2 into a single message the morning of. Skip pass 3 entirely, but still archive the folder.
- Multi-stakeholder delivery. Add a column for each recipient. Two of them will go quiet — chase the one who will actually own the project day-to-day.
- White-label agency work. Treat the client as end-client and your agency partner as the billing counterparty. Add a 7-day buffer for their QA pass.
