Reddit Project Sign-Off Template for Freelancers
A formal project sign-off template for freelancers. A signed acceptance document you can drop into any project, adapted from the patterns shared in r/freelance and r/webdev.
Quick answer
A sign-off document exists to convert a verbal "sounds good" into a written timestamped record. It does not need to be a contract; it needs to identify who accepted what, when, and what comes after the support window. The template below has 11 sections. Copy and fill in the bracketed fields.
When to use this
Send a sign-off document after final delivery, on the same day as the wrap-up email. Do not wait for the support window to end. That is too late to set the precedent. The earlier version protects both sides; the later version protects only the client.
The template
Each section is short. Skip nothing. Bracketed fields become concrete lines once filled.
1 · Header

2 · Parties

3 · Scope summary
A 2 to 4 sentence description of the work that was contracted. Pulled from the original scope or proposal. Do not paraphrase into marketing copy. Keep it literal.
4 · Deliverables accepted
Bullet list of every accepted deliverable, linked to its canonical location. Example:
• Production website at https://{DOMAIN}
• Source repository at {REPO URL}
• CMS admin access for {N USERS} under {DOMAIN ADMIN EMAIL}
5 · Acceptance criteria
Restate the acceptance criteria the work was measured against. Reference the original scope document if it had its own. If a deliverable passes every criterion, the project is accepted.
6 · Out-of-scope record
Anything outside the agreed scope that surfaced during the project. Include a one-line status for each: "deferred to Phase 2", "closed separately as change order #X", or "won't be done. Informed client on{DATE}". A short, dated list is enough.
7 · Ownership transfer
A bullet list of every ownership transfer that occurred on delivery: domain, hosting, repos, CMS, third-party accounts, design assets. Each row: what was transferred, to whom, on which date, and how it was confirmed.
8 · Support boundary
The included support window with a specific end date. Mention what counts as in-scope support (typical: bug fixes against acceptance criteria, clarifying questions for a limited time) and what is new work (anything else, including copy changes affecting layout).
9 · Outstanding items
Any known issues that both sides agreed to carry over past sign-off. If this section is empty, write "None". Empty is good. Empty protects you.
10 · Acknowledgement
A one-line statement that the client has received the deliverables, accepts them as fulfilling the agreed scope, and understands the support boundary.
11 · Signatures

How to ask for the signature
- Reply-accept signature is enough. "Received and accepted, {Name}" on the same email thread is a valid counter-signature for most small projects.
- PDF + e-signature for larger ones. DocuSign, HelloSign, or your own signed PDF works. The artifact matters less than the timestamped record.
- Do not over-engineer. If the project was 5 hours and $400, a typed reply is fine. Save the formal document for retainer and multi-week work.
